South Australian Government Department for Environment and Heritage Implements Interwoven to Protect Digital Assets

Interwoven MediaBin selected to manage over 50,000 digital images

Sydney, Australia, 30 August, 2004 - Interwoven today announced a contract with the South Australian Department for Environment and Heritage (DEH). Interwoven MediaBin Digital Asset Management system (DAM) will be used to assist in the storage, indexing, searching and retrieval of the department’s 50,000 digital images.

DEH expects to see substantial business and user benefits from the implementation, including improved marketing and publication ability particularly on the Web, allowing ultimately all staff to spend less time searching for images, whilst enabling them to protect and preserve valuable digital assets, make better use of IT resources and improve the user experience.

DEH started looking for an image management system late last year and went to tender in April of 2004. “We primarily were looking for a proven technology that gave us a central repository of digital image files, a facility for entry, update and indexing of files and metadata, and a Web-based retrieval facility,” explained Andrew Kay, IT Policy Manager at DEH.

The department is a voracious user of digital images, which originate from a wide range of activities: park rangers for visitor services, asset management or plant identification purposes; maps and charts for planning and education; images used for fire management; images as evidence used by enforcement officers for legal prosecution or from scientists for research.

Currently some 300 individuals create or edit images accessible by over 1000 staff. “With over 50,000 digital images held across a wide number of teams and the potential for that to grow to over 300,000, we faced a challenge,” said Kay. ”Currently various groups within DEH have developed their own repository systems for images, but many simply file with no metadata at all, making it near on impossible to find images let alone share with others across branches. Restrictions exist on the publishing of images and content by the complexity of security, copyright and ownership arrangements. Regional staff also have bandwidth issues as thin-client users, preventing the identification of the right image unless all are downloaded.”

DEH received 13 responses to the tender document, narrowing it down to four for the final detailed demonstrations. Interwoven’s MediaBin was selected at the end of May after an extensive proof of concept test and was installed and deployed in just five days during June, in a pilot run within the Public Affairs Branch.

“We are pleased with the outcomes to date which are meeting our expectations,” said Kay. “Images are efficiently stored and metadata can be easily added, with quick searches now possible. Regional offices can now search by text keyword or thumbnail without large, and slow, file transfer.”

Access to the DAM system will ultimately be on a department-wide basis.

“With the huge explosion in volume of unstructured data in today’s digital world, the understanding that images represent an asset, must be found quickly and shared easily by many, is a challenge facing many Australian organisations today. DEH is to be congratulated on its vision of the management of the State’s digital assets,” concluded Richard Collins, managing director for Interwoven.
