Electronic distribution of paper documents made simple and secure

 • 28 April, 2005 15:17

Unique software application running within MFDs allows users to scan documents, convert them to text,

and send them directly to enterprise software systems

Sydney, 28 April 2005 -- Canon Australia today announced the release of eCopy ShareScan OP (Open Platform) for MEAP, a unique application that enables organisations to scan and send paper documents directly to their document management systems, email, and other enterprise applications such as Interwoven, Documentum and Livelink.*

The announcement of this solution is part of Canon Australia’s official launch of MEAP, an extraordinary new solutions platform that allows Canon, customers, system integrators and developers to simplify the way organisations work by creating embedded applications that transform the behaviour of MFDs. (See today’s release: “Canon unveils platform for next generation of information solutions”.)

The eCopy solution turns MFDs into information hubs by integrating paper documents directly into automated electronic business processes. This is made clear to all users by the customisable buttons that the eCopy solution displays on the MFD’s touch-screen panel — buttons that will send a scanned document directly to any process from Submit Mortgage Application to File Case Notes. Rather than managing the business process to suit the limitations of the document or the device, eCopy allows organisations to quickly modify the behaviour of the device to support a business workflow process.

With the increasing emphasis on corporate governance, many organisations are finding that an electronic document management solution is the only practical means of controlling the creation and modification of documents. The eCopy solution is the perfect front-end solution that’s created with compliance in mind, as it can require a password before allowing users to scan files to a document management system. It can also secure the information that it sends to these systems with 128-bit encryption.

The eCopy solution automatically converts scanned documents to editable text via the ReadIRIS OCR package. The scanned image file can also be filed as a permanent record of the appearance of the original paper document, and eCopy can usually reduce the size of colour documents by 99%.

“The eCopy solution integrates with many of the enterprise applications that Canon markets, including Equitrac Office and Captaris RightFax,” said Peter Matthews, Market Segment Manager, Software & Services, Canon Australia. “This means that eCopy ScanShare OP is more than a massive vote of confidence for our breakthrough solutions platform, MEAP — it’s also a dramatic extension of our ability to combine a host of class-leading products when we build information solutions for our government and enterprise customers."

When the eCopy solution is used to connect an MFD to an enterprise email solution, users can access their own address books directly from the MFD’s touch-screen display. Any scanned images that they email directly from the MFD will automatically appear in their email program’s Sent mail folder. **

eCopy ShareScan OP is available now though Canon direct and dealer channels. It costs approximately $3500 per MFD. Compatible devices in Canon’s imageRUNNER range include the iR2220i, iR3320i, iR5020i, iR6020i, iR5020, iR6020, iRC3220, iRC2620, iR4570, iR3570, iR2870, iR2270, iR105+, iR9070 and iR8070.

* Requires specific connectors

** Requires Microsoft Exchange/Outlook or Lotus Notes for Sent mail, and/or LDAP for address book access
